VEILED PRODUCTIONS PRIVACY POLICY IN ACCORDANCE WITH GDPR

WHO WE ARE

Rachel Vine trading as Veiled Productions. We make wedding films (hopefully ones you love!). Our website address is: https://www.veiledproductions.co.uk/.

The privacy and integrity of the data we store is highly important to us. Whether you reach out to us with a question, or film your wedding we take great care over the information we store, and the way we store it.

WHAT PERSONAL DATA WE COLLECT AND WHY WE COLLECT IT

We do not take any personal data from visitors to our site unless you fill out our contact form because you are interested in our services (hurray!) or leave a comment on our blog which we are very grateful for as we love hearing when people read our blogs.

COMMENTS

If you leave a comment on our site, the name and comment you write will be in the public domain. If this concerns you then we suggest using a nickname or perhaps just your first name so it’s not easy for members of the public to identify you.

MEDIA

Our job is to film your wedding and make amazing films for you to treasure forever. Therefore we do have footage, photographs and your names on our site if you choose to use our services. However, we are very careful and tend to only use your first names so that you aren’t identifiable to members of the public.

When uploading images / video to the website, we avoid uploading with embedded location data (EXIF GPS). Images we upload to the site are of weddings we have filmed or photographed and consequently couples have agreed to the use of the images on our site for promotional purposes. They have been made aware of this during consultation and signing of our contract.

Images supplied by other people for use on our blog, for example a guest supplier article, may still include the location data but we will have been granted permission to use the images by the author of the guest blog.
If you wish for us to remove an image of yourself please email [email protected] detailing which image you would like removed.

CONTACT FORMS

We use a contact form to learn all about you and your day.

The content you email on the form will be inputted into our CRM system Studio Ninja and will be retained until we no longer need your contact information. The time we keep it for will be based on whether you use our services or not. If you do not use our services we will delete all correspondence and data inputted into our CRM on the date of your planned wedding. If you do use our services we will keep your data for 2 years after your wedding date.

COOKIES

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

EMBEDDED CONTENT FROM OTHER WEBSITES

Articles on this site include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website directly.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.

The main site we embed content from are our films from YouTube. Footage we upload to YouTube are of weddings we have filmed and consequently couples have agreed to the use of the footage on our site for promotional purposes. They have been made aware of this during consultation and signing of our contract. We follow YouTube’s privacy guidelines.

ANALYTICS

We use Google Analytics to learn how many users have visited our site and where they are coming from but we do not collect any data which identifies the users of our sites. We also have the Facebook Pixel installed so that we can promote our services to people who are interested in having their wedding day filmed.

WHO WE SHARE YOUR DATA WITH

We do not share your data with anyone for them to use, none of this selling people’s information lark! We store your data on the following third party sites to enable us to do our job:

Studio Ninja

An awesome customer relationship management system which helps us keep your information secure and so we don’t mix up any details of your wedding. Check out their privacy policy here.

GMAIL, Google & YouTube

Most people will know why we use Gmail! Any emails we receive from you and any of our replies to you we will keep on record until after your wedding when we’ve completed your wedding films. Obviously this is password protected and Google have two-step authentication which we also have in place. Their privacy policy is available to view here – we upload your highlights film to YouTube in order to embed it into our site. We don’t use your full names to avoid you being identifiable in line with their policy.

Vimeo

We upload your highlights film so that you will always have a copy and a place where you can download it from wherever you are in the world. Like with YouTube we don’t use your full names to avoid you being identified. Their privacy policy is available to view here.

Social media

Facebook

We will upload your highlights film, sneak peek film (if applicable) and any photographs (if applicable) to Facebook for you to share with family and friends. We may also upload small snippets of the day, a nice moment with your family or wedding party for instance, for you to see separately. These may be used for promotional purposes on Facebook as well in line with the agreement and contract we all sign at the time of booking. Again, we won’t give your full names here.

Instagram

We will upload your sneak peek film (if applicable) and any snippets of your day which makes us go awww or makes us laugh. Again, we won’t give your full names here.

Pinterest

We like to pin photos from our blog on to Pinterest so that other couples can find our services. Again, we won’t give your full names here.

Flickr

We upload some of our favourite photos of your engagement shoot and wedding day to Flickr which makes it easier to embed into our own site – like video, photo sizes can be large so we host them on Flickr. Their privacy policy can be seen here.

Blog posts

We love writing about your special day on our blog and crediting your other suppliers. Again, we don’t use your full names but show off your gorgeous day with some photos and your highlights film.

Our website runs on the Ghost platform, and the theme we use for the site is completely open source and maintained by Cyclick Development. You can read the code here should you wish.

Data Storage

Your data is stored safely and securely and we will only contact you either by email or phone in regards to your wedding. The footage we capture on the day is stored on encrypted hard drives on our premises, which we use whilst editing and when we archive the wedding once the films are completed.

HOW LONG WE RETAIN YOUR DATA

If you make an enquiry but do not use our services we will keep your data and any communications until the date of your planned wedding. We will then delete it indefinitely.

If you use our service we will store your data for two years. After two years we will contact you for confirmation to continue keeping your films and / or photographs online, all other data and communications will be deleted.

If you leave a comment on our blog, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

WHAT RIGHTS YOU HAVE OVER YOUR DATA

You have all the rights to your data! If you do not want certain footage / photos online please contact me and I will take it down. We put the films and photographs online to make sharing with your family and friends really easy but we totally understand if you want to keep your day private. All we ask is that you consider that showing off our wonderful couples’ films inspires other couples to book us for their day.

WHERE WE SEND YOUR DATA

All our customer’s data is kept secure and private. Visitor comments may be checked through an automated spam detection service.

HOW WE PROTECT YOUR DATA

It is only myself (Rachel) with occasional help from my partner Pete working in the business. We encrypt all the hard drives the footage and photographs are on. Hard copies of data are kept in a locked cupboard. Once we no longer need it, the paperwork is shredded. We have two-factor authentication in place for accessing emails. Any external sites are password protected and are GDPR compliant.

WHAT DATA BREACH PROCEDURES WE HAVE IN PLACE

We are very careful with your data. However, if a breach was to occur we would assess the risk involved and rectify it if possible, and, if required, we would alert you to that breach. For any serious breach we would contact the ICO within 72 hours in line with GDPR law.

WHAT THIRD PARTIES WE RECEIVE DATA FROM

We do not receive data from third parties unless you have been to a wedding fair and specifically opted in to receive information from us.

WHAT AUTOMATED DECISION MAKING AND/OR PROFILING WE DO WITH USER DATA

We do not have automated decision making or profiling in place. We are humans and we care a lot about you and your wedding day. All decisions are made by us!
